Position Overview

We are seeking a detail-oriented and highly organized Sales Administrator to provide essential support to our sales team. This role is critical in ensuring smooth sales operations by managing purchase orders, invoices, CRM records, and sales reports while also facilitating customer interactions and internal coordination.

The ideal candidate is proactive, adaptable, and thrives in a fast-paced startup environment. This is an excellent opportunity to play a key role in a rapidly growing company that is revolutionizing prosthetic technology.

Additionally, we are looking for someone who is highly agile with computers and has advanced experience with the Google Suite (Docs, Sheets, Gmail) and ERP/CRM software such as Odoo. A strong ability to work efficiently with emails, documents, and spreadsheets is essential to succeed in this role.

Key Responsibilities

Order & Invoice Management

  • Process and verify Sales orders with accuracy and efficiency.
  • Generate and issue sales invoices, ensuring correct customer details and payment terms.
  • Liaise with customers to confirm order details and resolve discrepancies.

Sales Coordination & CRM Management

  • Maintain and update customer, pipeline and sales records in the CRM (Odoo).
  • Ensure all sales transactions are accurately recorded and accessible for reporting.
  • Compile monthly sales reports and key performance metrics for management review.
  • Monitor sales performance data and support the team in meeting targets.

Customer Communication & Support

  • Respond to customer inquiries via email and phone regarding orders, invoices, and account details.
  • Address missing or incorrect information promptly to avoid processing delays.
  • Relay customer feedback to sales and marketing teams for continuous improvement.

Logistics & Administrative Support

  • Work closely with internal teams to expedite orders, coordinate shipments, and ensure timely delivery.
  • Support sales teams with event planning, including travel arrangements, hotel bookings, and trade fair preparations.
  • Assist in the processing of timesheets and other administrative documents as needed.

Office Management Support:

Oversee general administrative tasks to ensure smooth office operations, including 

  • managing office supplies, 
  • coordinating facility maintenance, 
  • handling incoming and outgoing correspondence, and 
  • assisting with organizing company events or team meetings as needed.

Qualifications

  • Bachelor's degree in Business Administration, Sales, or a related field preferred.
  • Minimum 2 years of experience in sales administration or a similar role.
  • Strong proficiency in CRM software (Odoo preferred), Google Suite (Docs, Sheets, Gmail), and spreadsheets.
  • Excellent written and verbal communication skills in English (additional languages are a plus).
  • Experience working in a fast-paced, high-growth environment is a plus.

Interview Process

  1. 30-minute virtual interview with the Chief Sales Officer.
  2. 60-minute in-person interview with the Chief Sales Officer and Chief Executive Officer.
  3. Final assessment of problem-solving and organizational skills.
